Record Group 311: Records of the Federal Emergency Management Agency |
Function and Use: |
The agency developed this index to provide its headquarters and field offices, other government agencies, media organizations, and the general public with efficient electronic access to series "Photographs Relating to Disasters and Emergency Management Programs, Activities, and Officials" (ARC Identifier 626166) which includes photographs originating in digital form, and scanned versions of film-based images, on disaster history and the agency mission. The index was designed to furnish intellectual access to the images through its informational content. |
Scope & Content Note: |
This series consists of electronic indexes encompassing item level identification and descriptive data for the images in the headquarters digital photographic series. Information is organized in fields, although there is not always data in every field for every image. Among the fields pivotal for citation and searching purposes are: the headquarters assigned image identification ("ID") number; the original file name accompanying the image when it was submitted to headquarters; the narrative caption developed by the photographer in conjunction with headquarters reviewers; the state, territory, or, in a very few cases, foreign country where the image was taken ("Location"); the date when the photograph was originally captured ("Date Taken"); the name of the photographer; the agency-wide disaster designation number, where applicable, for the event photographed; and the classification term or phrase ("Category") applied to the image subject-matter.There are more than two dozen "Category" types represented, from the many kinds of natural disasters (e.g., flood, tornado, typhoon), to man-made disasters (e.g., terrorist attack), to agency program subjects (e.g., special event, training). The indexing also includes a "Keywords" field consisting of selected names and subjects extrapolated from the narrative caption; and a "Federal Emergency Management Agency (FEMA) Event" field, which is used for scattered images pertaining to such special occasions as the National Press Club Newsmaker Briefing. |
Access Restrictions: |
Unrestricted. |
Numbering Note: |
Requests for photographs indexed in this series must include the record group number, the photographic series identifier, and the agency-assigned digital image file name. The file name generally incorporates one or more indicators of the photographic story, such as location abbreviation, subject reference, disaster number, or assignment number, along with frame number and format type. (Examples of citations with typical kinds of file names: 311-MAD-ny_wtc_087.jpg; 311-MAD-dr1292ncoak_search29.jpg; 311-MAD-ga-tornado5.jpg; 311-MAD-inspect3.jpg; 311-MAD-pcd0605_31.jpg.) |
General Note: |
With the index, AAD makes available thumbnail images and "browser-sized" images. As an additional option, full-size digital photograph files are available for download.
